GENERAL

Why did the 45th Annual ONS Congress get canceled?
ONS’s top concern is always the health and safety of our staff, our members and the patients they take care of. Our members play an essential role in leading the delivery of care to immunocompromised people every day. We must safeguard them from any unnecessary exposure and ensure the essential healthcare providers are available to service their communities. Read full details here.

Will ONS reschedule Congress for later this year or offer a virtual conference?
Our next ONS Congress will be April 22-25, 2021 in Washington, DC. However, we are actively working on ways to deliver a meaningful virtual experience over multiple weeks in September 2020.  We believe it will be even more important for nurses to not only have the latest information, but also have an opportunity to connect and support each other.  More information will be shared about this as details are available.

Can the presentations be posted online?
We are investigating ways to share some of the content planned for this year’s Congress to our registrants and members in alternate formats or venues. More information will be shared about this as details are available.

ATTENDEE REFUNDS

Cancellations and Refunds. 
All registered attendees are eligible to receive a full refund.

How do I get my refund?
Refunds will be automatically applied to the original form of payment and payor.

When will I get my refund?
We had initially shared that we anticipated refunds to be processed starting on March 30, 2020. We are working closely with our vendor to expedite the refunds and apologize for the delay. We expect refunds will be processed starting April 13, 2020. While the refunds will be automatically applied to the original form of payment and payor,  please note that it may take up to 30 days for the refund to post to the account. No action is required by you.

I had registered for yoga or Fun Run. How do I get a refund?
We are finalizing details and will share the process shortly.

I purchased membership with my registration, will I be able to cancel the membership?
No. Memberships are nonrefundable, per our standard membership refund policy.

Can I automatically donate my registration fee refund to the Oncology Nursing Foundation?
While all refunds need to go back to the original form of payment, we invite you to consider the option of donating part or all of your refunded conference registration fee to the Oncology Nursing Foundation. This would be a tax-deductible donation and a meaningful investment in oncology nursing education and research. To donate, simply visit: give.onsfoundation.org

My employer paid for my registration. How will the refund be handled?
We will refund the payor directly, once cancellation is processed.

I received a comp registration to attend to this year’s conference either due to their registration being transferred from 2019 to 2020 or through winning a comp registration at last year’s Congress, will “credit” be given for next year’s Congress?
Please send an email to help@ons.org stating that you received a comp registration for 2020 Congress and would like to transfer that to next year.

How will I receive my award?
ONS will mail your award directly to you.

Will the ONS business meeting take place? If so, how will members access the meeting?
Yes, the meeting will be held. Information will be shared as soon as details are finalized.

Can I apply my registration fee to next year’s Congress?
No.

ATTENDEE HOUSING & TRAVEL

Are we providing any documentation that can be submitted to the airlines when cancelling flights?
Official notification of the event being cancelled can be found here.

How do I cancel my conference hotel reservation?
If you made your reservation through the ONS Congress official housing vendor, Experient, you do not need to do anything. Experient will automatically cancel your reservation. Credit cards have not been processed, and no housing refunds are due. If you booked directly with the hotel or through another housing agent, you are responsible for cancelling your reservation.

Travel (air/auto) Reservation Cancellation
You should contact your air carrier or car rental company directly and follow their guidelines regarding the changing or cancellation reservations before the date of the reservation begins.

ORAL ABSTRACTS & POSTER PRESENTERS

How do I cancel my hotel and airfare?

Can I have more time to upload my poster so that I can add a video?
Yes. We have extended the poster upload deadline through April 15 to allow presenters to add a video of their presentation.

How do I cancel my speaker registration, hotel, and airfare?

Member  –  Session Speakers

Registration Cancellation: Complimentary member speaker registration will be cancelled automatically.

Nonmember – Session Speakers

Registration Cancellation: If you chose to attend for your presentation only and did not pay a registration fee, your complimentary speaker registration will be cancelled automatically. If you paid to attend additional sessions or the full conference, you are eligible for a full refund. We are finalizing details and will share the process shortly.

Travel Reservation Cancellation: ONS will automatically cancel any flights booked through American Express. If you booked independently, you should contact your air carrier or car rental company directly and follow their guidelines regarding the changing or cancellation reservations.

Individual Hotel Reservation Cancellations: Any reservation booked through the Congress website will be cancelled automatically without penalty. Registrants who booked housing through other sources or directly with hotels must cancel their own reservations.

Power Session Invited Speakers

Registration Cancellation: Complimentary invited speaker registration will be cancelled automatically.

CHAPTERS

Is it appropriate to continue holding local chapter meetings?
Any decision to hold chapter meetings is being left up to each chapter board to decide, due to the fact that conditions and restrictions vary around the country. Chapters can contact their local health and public officials for questions specific to their area. Should conditions lead you to cancel an in-person meeting or event, you could consider holding those events virtually. Please email chapters@ons.org for information to obtain a free Zoom license.

Will ONS still hold Chapter Leadership Weekend?
This is currently under review, because it is farther in the future.

We have a vendor fair planned. What does our insurance cover?
You will need to reach out to your insurance provider to understand your coverage.  If you have questions about the insurance that ONS provides to chapters, please contact Brian Taylor, Manager, Chapter Relations (email: btaylor@ons.org | Tel: (412) 859-6403).

RETURNING 2020 CONGRESS SCHOLARSHIPS

Does Oncology Nursing Foundation require that I return the Congress Scholarship funds I was awarded for Congress? 
Yes. The full amount of $1,200.00 must be returned. 

  1. I already purchased my ticket. If you have purchased a ticket you must return the full amount, less any potential airline cancellation fees, to Oncology Nursing Foundation, 125 Enterprise Dr, Pittsburgh, PA 15275.  Please provide a copy of the receipt showing the fees that were incurred. If you paid for Congress registration, your registration fee will be refunded by Experient directly back to the source of the payment. See the specific case scenario below which fits your factual situation.  
  2. I received a Congress Scholarship for Congress, but I did not spend any of it. Do I need to do anything? Yes, Please, send the full amount of the Congress Scholarship back to Oncology Nursing Foundation,125 Enterprise Dr, Pittsburgh, PA 15275.  If you have the original check that was sent to you and have not yet cashed it, please send back the check. 
  3. I received a Congress Scholarship, but I spent part of it. Do I need to return what was spent? Yes. Oncology Nursing Foundation will require full scholarship awards be returned 

I purchased an airline ticket with my Congress Scholarship– what is the return process? 

  1. Please cancel your travel immediately.  Flights must be actually cancelled before the flight day and time. Each airline has its own policies.  You may receive a refund from the travel company, but in most cases, you will receive a travel credit with the company that you booked through. 
  2. Travel credits are not transferrable – therefore you cannot transfer this credit to the Oncology Nursing Foundation. The travel credit will be yours to use as you wish.
  3. Since the travel credit is personal, Oncology Nursing Foundation will require reimbursement of the full Congress Scholarship, less any cancellation fee charged by the travel company.  
  4. The airline will only refund me in a travel credit. Will Oncology Nursing Foundation still require me to pay back this portion of the Congress Scholarship awarded. Unfortunately, travel credits are non-transferrable, therefore the travel credit will only be available for your personal use. 

I am an international Congress Scholarship awardee and was expecting to receive my award in check form at the Congress.  What do I need to do?
Your award check will be cancelled here.  Please take care of cancelling your travel arrangements and refer to sections above addressing travel. 

My scholarship was issued to my institution on my behalf and not to me directly from the Foundation.  How do I go about returning the scholarship award?
Your institution should return the full scholarship awarded to the address below by May 31, 2020. Please give the appropriate person in your organization this information. 

Who do I return the Congress Scholarship funds to?
Please send a check payable to Oncology Nursing Foundation to 125 Enterprise Drive, Pittsburgh, PA 15275.  If you wish to pay by credit card, please contact Customer Relations at 1-866-257-4667, option 2. 

When must I return the Congress Scholarship funds to Oncology Nursing Foundation?
Return the funds by May 31, 2020. 

Can I keep the Congress Scholarship funds for a future ONS event?
No. All Congress Scholarship funds must be returned, in full to Oncology Nursing Foundation. 

Can I apply for a Congress scholarship from the Oncology Nursing Foundation in the future?
Yes.  

I still have a question about returning Congress Scholarship funds that I received. To whom may I direct my question?

MEMBERS – NON-CONGRESS

Will ONS still hold Hill Day?
This is currently under review, because it is farther in the future.

I’ve been asked to represent ONS for a meeting. Should I still attend?No. Effective immediately – through May 31 – ONS will have no business travel for ONS staff (air or car) or those that represent us. We recommend using virtual meetings in lieu of face-to-face.

I was invited to the ONS office for a business meeting. Should I still attend?
No. Effective immediately – through May 31 – ONS will not be holding meetings in the Pittsburgh office. Virtual meetings will be used instead.

How do we address the PPE shortage?
ONS has published an article in the ONS Voice, entitled How to Manage PPE Supply Shortages Related to COVID-19. Notifications will go out as additional information is available on ons.org.  

What information is available from ONS for us to share with patients?ONS will provide relevant content on ons.org as information is available.
